Add A Department

Departments group your team members and the work they own. Once a department exists you can assign tasks, funds, events, and other records to it for tracking, and use it to control which team members see which records.

Add a department

  1. In the top right corner of the screen, click your organization's name (the button with the building icon) to open the Team menu, then choose Departments. That opens your full list of departments.
  2. Click Add A New Department. Argenta creates the department and opens it in the Department Workspace.
  3. Fill in Department Details:
    • Department Name. The only required field.
    • Description, in your own words.
    • Chapter and Division, if the department belongs under one. Both are dropdowns of what you have already set up.
    • Department Leader (Team Member), chosen from a dropdown of your team members. Leave it alone if there is no leader.
    • Department Type, one of your own classification codes. Use the add icon on the field to create a new one.
    • Associated Fund, if the department's activity should point at a particular fund.
  4. Click Save All Changes to keep working, or Save All & Exit Record to save and return to the list. Exit Record leaves without saving.

Department Name is the only field you have to fill in.

Exit Record leaves without saving.

Your organization's default department cannot be edited or deleted. Open it and you will find the fields and the save buttons switched off, which is expected: it is the fallback every record falls back to when no other department is chosen.

The Department Workspace

The workspace has four pages, not just details and permissions:

  • Department Details, above. The two switches at the top are Set As View Only, which stops other team members editing the department, and Lock This Record, which stops them opening it. The person who created it, master admins, and anyone named on Record Permissions keep their access either way.
  • Department Files for documents you want to keep with the department. Save the record first. See Add Related Files.
  • Department Notes for anything your team should know. See Add A Note to the Notes Section.
  • Record Permissions, with a panel for each switch. Under View Only Access, name the people who can still edit a view-only department; under Locked Record Access, name the people who can still open a locked one. Start typing a user's name, select them, and click Add.

Working with the list

Search the list by ID, name, or leader. Each row has a green icon to open the department and a pink one to delete it, and you can export the list to a spreadsheet.

Green opens the department. Pink deletes it.
