What is the difference between Volunteers, Volunteer Positions, and Volunteer Tasks?

Argenta provides three connected concepts for managing volunteers effectively.

Volunteers

A Volunteer is a person who donates their time to your organization.

  • Linked to a constituent record
  • Has their own volunteer profile with status, skills, and availability
  • Can be assigned to multiple positions and tasks
  • Tracks training, background checks, and evaluations

Volunteer Positions

A Volunteer Position is a defined role that volunteers can fill.

  • Describes a specific role (Greeter, Tutor, Board Member, etc.)
  • Has requirements, responsibilities, and qualifications
  • Holds one volunteer at a time; create a position record for each seat you need to fill
  • Useful for recruiting and matching volunteers to needs

Volunteer Tasks

A Volunteer Task is a specific work assignment with a date, time, and location.

  • Represents actual shifts or assignments
  • Has specific date, time, and duration
  • Tracks hours worked
  • Can be part of a Volunteer Task Group (for recurring needs)

How They Connect

  1. Create Volunteer Positions for the roles you need
  2. Create Volunteer records for people who want to help
  3. Assign volunteers to positions based on their skills and interests
  4. Create Volunteer Tasks for specific shifts or assignments
  5. Track hours completed through task records
