How to Track Volunteer Background Checks

Manage background check requirements and track clearance status for volunteers.

Accessing Background Checks

  1. Open the volunteer record
  2. Click Background Checks in the workspace navigation

Recording a Background Check

  1. Click Add New
  2. Enter check details:
    • Check Type: Criminal, reference, driving, etc.
    • Provider/Vendor: Who performed the check
    • Request Date: When it was initiated
    • Completion Date: When results were received
    • Expiration Date: When recheck is needed
    • Result/Status: Clear, flagged, pending
  3. Add any notes about findings
  4. Upload supporting documentation
  5. Save

Types of Background Checks

  • Criminal Background: National, state, or county level
  • Sex Offender Registry: Required for youth-serving organizations
  • Driving Record: For volunteers who will drive
  • Reference Checks: Verification from references
  • Child Abuse Clearances: For child-serving roles

Managing Expirations

Many organizations require periodic rechecks. Use expiration dates to:

  • Filter for volunteers needing rechecks
  • Set up notifications before expiration
  • Ensure compliance before assigning to tasks

Best Practices

  • Check all volunteers before they begin serving
  • Document the type of check performed
  • Keep records of clearance dates
  • Establish a rechecking policy (e.g., every 2-3 years)
